Privacy Statement
Last updated: 31 October 2026
This statement explains what personal information GrimDarkGames collects when you use grimdarkgames.co.uk, why we collect it, who we share it with and what rights you have.
Who we are
This website is run by the trading entity known as GrimDarkGames, an online shop for tabletop games, miniatures and hobby supplies based in Owston Ferry, Doncaster. You can contact us at info@grimdarkgames.co.uk.
We are the “data controller” for the personal information described here.
What we collect and why
When you place an order
We collect your name, billing and delivery address, email address, phone number (if you give one) and what you ordered. We use this to process your payment, send your order, email you order updates and handle any returns or refunds. The legal basis is that we need it to fulfil our contract with you.
When you pay
Card and wallet payments (including Apple Pay, Google Pay, Link, Amazon Pay and Klarna) are handled by Stripe. Your full card details go straight to Stripe and are never stored on our website. Stripe may also use your information to prevent fraud. See Stripe’s privacy policy.
If you create an account
We store your name, email address, addresses and order history so you can check your orders and check out faster. You can update your details at any time in My Account.
If you sign up to our newsletter
When you enter your email in the newsletter form and tick the consent box, we store your email address and the date you signed up, and use it to send you offers and news from GrimDarkGames. The legal basis is your consent. You can unsubscribe at any time using the link in any email, or by emailing info@grimdarkgames.co.uk.
If you contact us
If you email us, we keep your message and our reply so we can help you and keep a record of the conversation.
When you browse the site
- Google Analytics: we use Google Analytics to understand how visitors use the site (for example, which pages are popular). It uses cookies and collects information such as the pages you visit, your approximate location, and your device and browser type. We don’t use it to identify you personally. See Google’s privacy policy.
- Security: our security software records the IP address and activity of visitors to protect the site from attacks and spam.
- Cookies: see our Cookies Policy for details of the cookies we use.
Who we share your information with
We only share what is needed with companies that help us run the shop:
- Stripe: payment processing and fraud prevention.
- Delivery companies, including but not limited to Royal Mail, DPD, FedEx and Evri: your name, delivery address and, where needed, your phone number or email so they can deliver your parcel.
- Zoho: sends our order and customer-service emails.
- Google: website analytics, and secure backups of our website.
- DigitalOcean: hosts our website.
We never sell your personal information, and we don’t share it with other companies for their own marketing.
Some of these providers may process data outside the UK. Where they do, they use legal safeguards approved under UK data protection law.
How long we keep it
- Orders and invoices: for up to six years, because tax and accounting rules require it.
- Customer accounts: until you ask us to close your account (order records are kept as above).
- Newsletter: until you unsubscribe.
- Emails: for up to two years after our last contact, unless they relate to an order.
- Analytics data: Google Analytics keeps data for 14 months.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete your information (we may need to keep order records for the legal reasons above);
- object to, or ask us to restrict, how we use your information;
- withdraw your consent at any time (for example, unsubscribe from the newsletter);
